Live judges who are ONSITE can access this system via Wi-Fi or directly via Ethernet.
For the best possible experience we recommend your judges access this system via hardwired ethernet and so impose a soft limit of 6 devices accessing via Wi-Fi.
Virtual judges who are REMOTE can access a live stream of your event (with the ability to rewind) and on-demand access to routines within 5 minutes (depending on venue internet)

EPs that have used Cheercast’s services for all of their events in the previous calendar year receive an automatic 5% discount on all Cheercast packages, add-ons AND our live production/audiovisual services (excluding technical labour). Not available to events that are quoted, invoiced or remain unpaid within 2 weeks of event.
Pay your Cheercast invoice in full at least 6 weeks prior to live events to receive a 5% discount on all Cheercast packages and add-ons. We recommend requesting a quote at least 4 business days before the 6-week mark to ensure there is enough time for us to invoice you and for your payment to process.
Due to the higher cost of working in Western Australia and Regional areas (travel, shipping & labour expenses), it is necessary for us to charge an additional 10% on top of Cheercast packages and add-ons to cover those costs.
For the avoidance of doubt, this fee will apply to any event EXCEPT those held IN or WITHIN 30KMS of the following cities: Adelaide, Brisbane, Canberra, Gold Coast, Melbourne, Newcastle and Sydney.
For each room or hall (i.e. any space with its own performance surface) after the first OR any competition with less than 5 hours of performance (i.e. Friday afternoon) any Cheercast packages and add-ons are charged at 75% of the regular rate.
This only applies to Cheercast packages and add-ons; any fees or extra charges are invoiced at their full amount. For the avoidance of doubt the discounted rate will apply to the room or hall with the lowest total cost.
Cheercast defines a “day” as 10 working hours with at least one 60-minute or two 30-minute breaks. For event days where the onsite start and end times (including bump in or out) are:

Cheercast is an account-based system, which means everyone that uses Cheercast must be registered. This means the user can access their routines from any event or event series that we are affiliated with, and they only need to link their account to their program once per year, instead of needing a password on a per-event basis or requiring clubs to send out links after each event.
Our system does away with the traditional password protected page method, which have been proven to be an un-secure, ineffective, and time-consuming way to distribute content.
When registering, users are required to supply a valid email address (we confirm ALL email addresses before approving accounts) as well as their
programs’ Linking Password. Program owners have full control over who has access to their club's content, they set the linking password and can see a list of current users linked to their program and can request Cheercast investigate and remove any users they are unfamiliar with.
Cheercast Replay is a custom-built system which runs on our own private network at your event. The system allows your judges near instant access to and the ability to search for recorded routines and play them back at varying speeds.
The system can run on virtually any device as it is web-based, meaning judges can use their own devices (Laptops, Tablets, Smartphones) to access routines, either via an ethernet (faster, more reliable) or Wi-Fi (wider device compatibility) connection.
In 2025, we expect to release our upgraded system which will allow both onsite and remote judges to access the same system, with a number of new features being introduced including the ability to annotate on routine videos and export these annotations for club owners and coaches to reference.
EPs can access every routine from their own events by logging into the Cheercast website with their EP account and going to any of their event pages or visiting the My Routines page. At events where we are engaged to supply a b-roll operator, this footage will be able to access via Google Drive within 5 days of the event.
Cheercast takes our obligations to athlete safety incredibly seriously. Where issues of child protection arise, each situation is considered within the scope of any relevant laws, on a case-by-case basis in conjunction with the EP, program owner, coach and any parent or guardian present. We request wherever possible that the Club or EP advise us of any athletes this may apply to at least 7 days prior to the event.
Our photo distribution system is very similar to our video distribution system in that only users linked with a club can access that club's photo galleries. Users can view a gallery of photos for each routine and can download photos individually or all photos as a zip file.
Photos can be uploaded at any time by your photographer at their discretion, however we do ask that as much as possible your photographer aim to have all photos uploaded into our system within 5 days of the event end.
You should provide us with your photographer’s email address at least 2 weeks in advance so we can send them more information and ensure they are aware of our technical requirements for distributing your photos:
To provide many of our services (mainly our Remote Judging, Instant Distribution and Live Streaming services), we need access to a high speed, unrestricted internet service. In almost all venues across Australia, this is generally available at little or no cost and can be arranged directly with the venue contact, which Cheercast will often do on behalf of the EP.
As the importance of internet access at the venue has increased, at any venue where internet is charged for, Cheercast will pay up to $100 per day, with the remainder required to be paid by the EP. We recommend negotiating with your venue in advance of signing a contract to either have internet included or at a reduced cost. For our services to run as smoothly as possible, we require a minimum bandwidth of 50/50 (50Mbps download and upload), with our recommended bandwidth being 100/100.
If you would prefer not to contribute to the cost of the internet OR in the event that the venue does not have internet available, Cheercast can provide our own cellular internet system at no cost, however we will not be able to guarantee that routines are available within 10 minutes, and we may need to stop or restrict other services to ensure bandwidth is allocated to routine uploads. Further, onsite judges accessing the Cheercast Judging system on our cellular network will have their network restricted to only allow them to access the Cheercast Replay system.
In previous years, we have attempted to avoid charging overtime fees, even though our ‘per day’ rates have always been based on a 10-hour day (as is industry standard). In the past, this has often meant that Cheercast has absorbed the cost of paying our team member’s overtime as events have grown to run longer and longer.
For reference, Cheercast follows the Live Performance Award when determining how we manage breaks and overtime. Under the Live Performance Award, we are required to pay anywhere between 150% and 250% of the hourly rate to our contractors when they work overtime, based on the day/time, the number of breaks taken and whether there has been a break of more than 10 hours between shifts.
While we’ve always done whatever we can to keep costs stable for our clients, we also need to ensure we are looking after our team members and maintaining a safe working environment.
For the avoidance of doubt, event timings are determined by the difference between the start time (at least 45 minutes before the first scheduled performance OR at the start of bump in) and end time (at least 15 minutes after the last performance OR awards session OR any other session we are required to be onsite for OR at the end of bump out) for each onsite operator. If event timings are provided in advance, these fees will be shown on your quote/invoice as an estimate, otherwise they will be added to your final invoice after the event.
At our discretion, Cheercast may charge additional fees if the timings of your event require us to hire a secondary operator to ensure the primary operator is able to take the legally required breaks or to ensure the primary operator has a break of at least 10 hours between shifts. Cheercast’s current per hour rate for an operator is $75 per hour, with a minimum call of 4 hours.
To ensure we can provide support to events across the country (usually at the same time), Cheercast will determine how many team members are required to attend your event based on the services you have chosen except in the case of any add-on with “Operator” in the title will generally always mean a dedicated person is onsite for that role.
The base package will always include at least one operator and depending on how many add-ons you have selected; we may allocate a second operator to ensure everything runs smoothly. This decision will be made based on the add-ons themselves and we will advise well in advance of your event how many operators will be onsite. Alternatively, we may allocate a single, more experienced operator to your event who can manage multiple services at once.
Where services are requested within 2 weeks of your event, we reserve the right to modify the scope of our deliverables to ensure our operator/s can handle the new workload, or to reject your request for services if we don’t feel they can be provided to our high standards.
Live streaming a Cheer or Dance competition - while not significantly complex – requires comprehensive planning and strategising around the best format and structure for delivery. Some aspects that inform our live streaming pricing are:

We can all agree that the last few years have changed the way we approach live, in-person events and we have always been big supporters of using technology to innovate event experiences. We also note that EPs around the world are starting to look at integrating live streaming into their competitions, and welcome this renewed focus and support from athletes, supporters, club owners and coaches alike.
However, while we believe that live streaming is one of the best ways to showcase and utilise technology to grow this sport, Cheercast continues to be an EP and Program first platform and will continue to only provide these services on a case-by-case basis, where the format and structure of these live streams will always be at the direction of the EP and with the support of the valued programs that are involved.
